Locations is one of the most critical areas in the system — it's where much of your data gets entered, viewed, and edited. While much of this can be done on the Mobile App, members managing multiple routes often do a lot of work here. A list of your Locations appears on the left, with other tabs and details on the right.
Collapsing the list
If you're working on a specific Location and want more space, collapse the Location List by clicking the circled arrow.

When a Location is selected, its details show on the right. The Info tab holds the core details for that machine.
Location details
Enter the Name (a unique field, especially useful if you have multiple machines at one physical location), then the Address. As you type the address, the system uses Google Maps to autofill the correct location — select the correct entry from the dropdown and the rest of the address fills in automatically.

Remaining fields:
- Route — If you have multiple routes, or certain routes done on certain days, enter it here.
- Account — The company this location is connected to, usually where it resides.
- Device ID or S/N — The number off the back of your cashless or telemetry device. This is critical for getting sales info into your account. If the same ID is already in use in the system, it cannot be keyed again. Note: If you purchase a device from another operator, check with Vagabond to confirm it isn't associated with another account before entering it here.
- Machine Details — The Make and Model define how the coils that make up the planogram get mapped. The S/N field is for the machine's serial number. This also gives Vagabond Support critical information for potential upgrades.
- Telemeter — Use the dropdown to describe the telemeter type used at this location.
Scheduling Options

Scheduling Options define when you intend to visit a Location.
- Automatic (default, most common) — The Location shows up when the scheduling criteria set for a given day are met (see the Schedules article).
- Manual — Best for machines with no telemetry providing sales data. You can select specific days to visit, or set how many days between visits.
Transaction Fees & Monthly Operating Expenses
These provide profitability data in reports and dashboards.
- Sales Tax Percentage % — The total tax rate appropriate to this location (all applicable taxes combined).
- Cashless Transaction % Rate — The percentage of each cashless transaction paid back to the processor.
- Additional Monthly Expenses $ — Recurring monthly expenses of a set dollar amount (for example, your Vagabond subscription fee).
Commission Options
Track commissions paid to an Account or third party. These impact net revenue and profitability.
- Flat Monthly Fee $ — A set dollar amount paid each month.
- Per Unit Commission $ — A specific dollar/cent amount paid for each vend.
- Commission Percentage % — The percentage paid on sales from the Location.
- Exclude Cashless — Do not pay commission on cashless sales.
- Gross — Base payment on gross sales.
- Net — Base payment on net sales.
Revenue Share Options
Incentivize your Drivers. Choices mirror Commissions.
- Flat Revenue Share $ — A set dollar amount paid each month.
- Per Unit Revenue Share $ — A specific dollar/cent amount paid for each vend.
- Percentage Revenue % — The percentage paid to the Driver.
- Gross — Base payment on gross sales.
- Net — Base payment on net sales.
Saving and previewing
⚠️ Important: If you don't click Save before moving to another tab or Location, your changes will be lost. ALWAYS click Save after making changes.
Preview Location Financials opens a box showing a financial preview based on your settings. If there's no revenue tied to the Location yet, these fields will be blank.
